Privacy

How this awards app handles personal information.

This page explains the privacy handling built into the DSSA Awards app itself, including account creation, sign-in, nominations, the internal submissions dashboard, and signed-in analytics.

In scope

This page supplements the broader NSW Government privacy statement.

It focuses on what this service collects and uses so staff can create accounts, sign in, submit nominations, and support the restricted internal submissions dashboard.

What the app collects

The app stores only the information it needs to run the awards workflow and protect access to it.

Account and sign-in details

When you create or use an account, the app stores your name, email address, session records, and the data needed to support the sign-in method you use.

  • If you create a local account, your password is stored as a hash rather than plain text.
  • If you use email sign-in or one-time codes, temporary verification records are created to complete that login flow.
  • If you use Microsoft sign-in, the app stores the account identifiers and tokens needed to keep that connection working.
Nomination details

When you submit a nomination, the app stores the information needed to administer the awards process.

  • Nominator name and email address from your signed-in account.
  • Nominee name, selected award category, self-nomination flag, and evidence text.
  • Submission time and the nomination status used during internal assessment.
Signed-in usage and security data

The app records a limited set of operational data to support security, auditing, and service monitoring.

  • Account creation and site-session events.
  • IP address and user-agent details captured at account creation and session start.
  • Signed-in page visit data such as path, page title, referrer, and time spent on a page.

How it is used

The service uses personal information for awards administration, sign-in, and basic service operations.

  • create and protect user accounts for eligible staff

  • support sign-in, session management, and account recovery flows

  • prefill nomination details from the signed-in account where the app already knows them

  • store, review, shortlist, and administer nominations for the DSSA Awards process

  • monitor service use, investigate issues, and maintain basic audit and security records

Access and disclosure

Award nominations stay inside the service and its supporting sign-in systems.
  • Nomination information is not published publicly by this app.
  • The internal submissions dashboard is restricted to signed-in administrator accounts.
  • Authentication and sign-in email providers may process the information needed to operate those login flows.
  • This page explains how this app works alongside the broader NSW Government privacy statement.

Signed-in analytics

Page visit tracking in this app applies only while a user is signed in.

The tracker records page path, title, referrer, start and end time, and duration so the service team can understand usage and troubleshoot issues in the protected parts of the app.
